Multifunctional Administrative Assistant


We are looking for a Multifunctional Administrative Assistant to take up a multitude of operational tasks in the back-office of You are intelligent, multilingual, focused and able to juggle a wide range of different tasks in a structured way. Your tasks & responsibilities

As a confident and responsible person, you work in the heart of and you will, together with the back-office colleagues:

  • Perform tasks in the core of our Operations:
    • follow-up of purchase orders and contracts
    • prepare the scheduling of our consultants (Excel/Navision)
    • prepare forecasts and budgets
    • give support in the elaboration of proposals, CV’s and presentations
  • Perform a multitude of general tasks:
    • plan and organise customer and employee events
    • schedule and arrange appointments and meetings + calendar management (Outlook)
    • produce and translate documents, briefing papers, reports and presentations
    • organise travels, visas and accommodation
    • answer, screen and forward phone calls or take messages where appropriate
  • jump in when necessary in the team: flexibility towards type of work
    • support at events (catering, invitations, …)
    • support at reception, visitors
  • make reservations of meeting rooms, restaurants…

  • excellent verbal and written communication skills in Dutch, English and French
  • analytical mind with strong organizational and time management skills, thrives when put under pressure, able to juggle a wide range of different tasks
  • computer literate with excellent MS Office knowledge (Word, Excel, PowerPoint, Outlook…),
  • bachelor or university graduate
  • minimum five years of experience in a similar position
  • independent but also a real team-player
  • high level of discretion, empathy and confidentiality
  • proactive, positive, problem-solver
  • service minded, approachable, friendly
  • flexible and willing to work overtime during peak times and/or when deadlines are close
